ERS License Structures

We have two types of licenses: (a) Agency licenses for direct client service, and (b) Sponsor licenses for analyzing patterns of client need and program effectiveness across Agency licenses. There are several ERS license structures from which to choose, based on your client service delivery structure. Here are some options:

  1. All of your programs and services are delivered from one office site.
    • A single Agency license is usually sufficient.
  2. Your programs and services are delivered at different sites, but the clients served are similar and it is appropriate for staff at all sites to be able to view client data from all sites.
    • A single Agency license may be sufficient, depending on the number of clients you serve each year.
  3. Your programs and services are delivered at different sites, and there are key differences among locations (e.g., urban and rural offices, targeting at-risk youth in one location while serving the general population in another).
    • Having separate Agency licenses for each site would allow you to analyze the similarities and differences in client needs and client improvement in the different locations.
  4. Your programs and services are delivered at different sites, and it is not appropriate for staff to see client data other than their clients at their own site.
    • Separate Agency licenses for each site will be necessary to protect client privacy and confidentiality between sites.
  5. All of your programs and services are delivered from one office site, but you are running several large programs (e.g., over 5,000 clients each).
    • Separate Agency licenses for each program, plus a Sponsor license to make comparisons across programs, usually work best.
  6. Your programs and services are delivered at more than two sites, and you would like to compare client needs and program effectiveness at those locations.
    • Separate Agency licenses for each site, plus a Sponsor license, will give you the ability to do comparative analyses.
  7. Your programs and services are delivered at different sites, in different regions or districts, and you would like to compare client needs and program effectiveness both within regions and across locations.
    • Separate Agency licenses for each site, plus a Sponsor license for each region/district and an “overall” Sponsor license, will be most helpful for your comparative analyses.

In each option, the total number of client access codes purchased (across Agency licenses) determines the per-code cost. We would be pleased to discuss with you the type of license configuration best suited to your needs.
